How can I display company benefits in the app?

With Custom Benefits, you have the opportunity to flexibly offer company-specific benefits through our platform. Beyond classic benefits like meal allowances, gift vouchers, or bicycle leasing, you can integrate exclusive services that perfectly match your company culture and the needs of your employees.

Custom Benefits are designed to provide your employees with regular, ongoing monthly benefits. These can be company-specific benefits such as subsidies for internal services, exclusive discounts, or individual programs that benefit your employees every month and demonstrate continuous appreciation.

Important: Custom Benefits are not intended for one-off bonuses, irregular payments, or project-based special payments. They are specifically designed to be long-term and predictable, providing employees with consistent support and motivation.

Please note that the Custom Benefit is calculated on top of the existing budget. Your employees' existing budget remains unaffected and will not be reduced.

 

How does it work?

1. To display your own benefits in the app, send us a short message to cm@pxtra.de so we can activate the Custom Benefit section for you on the platform.

2. You can then create and set up your Custom Benefits on the platform. This step-by-step guide will walk you through the entire setup and submission process.

3. Once your Custom Benefit has been created, we will receive an email to review it. You can find our review criteria below in the Custom Benefit Setup Guidelines section.

4. After your Custom Benefit has been approved, you can assign it to your employees. You have the option of automatic or manual assignment.

Automatic assignment: The Custom Benefit will be assigned to all eligible employees. The assignment is based on a default value, which you can optionally customize. Click here for the step-by-step guide.

Equal Treatment Principle

  • Custom benefits should be offered fairly and without discrimination. Differences in allocation must be objectively justified (e.g., position, working time models).

Tax Allowances and Flat Rates

  • Benefits can be tax-free or taxed at a flat rate. Please note the different tax-free allowances and thresholds when creating a custom benefit.

Documentation

  • Please remember to document and retain the receipts for custom benefits and add them to the payroll records.
Co-determination Obligation

  • If a works council exists, custom benefits must be coordinated with it, especially if they are collective in nature (e.g., for all employees in a department).

Impact on Other Benefits:

  • Please note that custom benefits may affect other benefits.

Guidelines for setting up a custom benefit

To ensure your custom benefit is successfully approved on our platform, we review various criteria for plausibility. This ensures that the benefit meets both the requirements of our platform and the needs of your employees.

Below you'll find a detailed overview of what we look for during the review process and how you can consider potential adjustments when setting up a custom benefit.

 

 

1. Is this a genuine benefit?

A custom benefit must represent genuine added value for employees. This includes, for example:

  • Subsidies for health services (e.g., gym membership, vision aids)
  • Mobility offers (e.g., bicycle leasing)
  • Meal allowances that cannot be covered by our standard meal allowance
  • Continuing education subsidies

The following are generally not considered benefits:

  • General salary components
  • Mandatory employer benefits (e.g., vacation days)
  • Reimbursements for existing statutory or collectively agreed regulations

2. Is the benefit relevant to the budget?

Every custom benefit must have a budget allocation. A benefit without a financial framework or a specific allocation of funds cannot be created as a custom benefit, as no allocation to employees is possible in that case. Examples of budget relevance:

  • Annual training allowance of €500
  • Daily expenses for internal catering services that cannot be covered by our meal allowance benefit, amounting to €6
  • Employee savings plan

3. Does the benefit conflict with other existing benefits?

Some benefits may restrict or exclude each other. We check this as part of our plausibility review. Examples:

  • Mobility: If a company car is already in use, a public transport allowance or mileage allowance cannot be granted.
  • Meals: If a company canteen offers free meals, a meal allowance may not be granted.
  • Benefits in kind: If existing benefits are accounted for via benefits in kind, the :pxtra-specific benefits in kind must be reduced accordingly.

4. Is the information complete and correct?

Please ensure that all relevant information is entered when creating a custom benefit, in particular:

  • Benefit name
  • Detailed description and header image
  • Links to external websites (if applicable)
  • Any restrictions or replacements of :pxtra benefit modules
  • Wage type ID (if applicable) if the benefit is also to be shown on the payroll export

In certain cases, we may need to contact you with any questions before we can approve a custom benefit, or we may even have to reject a custom benefit because it does not meet the above criteria.
